Understanding What You Need

Managing your financial records on your own can be challenging and even problematic when it’s not your specialty. Or if outsourcing, you may be paying more for a CPA to handle your day-to-day bookkeeping, or trying to “save” money by hiring an inexpensive bookkeeper who relies on automated processing without a sufficient understanding of accounting.  

As an experienced bookkeeper, I will process and manage all of your day-to-day bookkeeping needs personally. I’ll prepare financial statements for management, support your annual tax preparations and filings, and customize my focus to address your unique bookkeeping needs.

My Professional Bookkeeping Services

Income and Accounts Receivable (A/R)

  • Record all income and receivables
  • Recognize revenue for advanced payments
  • Support outgoing invoicing and statement preparations
  • Support collections on A/R amounts due
  • Grant recording and fund tracking by account and class as needed
  • Maintain customer/client/donor account profiles
  • Maintain and organize receipts, contracts, and supporting documentation 

Expenses and Accounts Payable (A/P)

  • Record all expenses and bills payable
  • Process approved expense and/or credit card charges as needed
  • Prepare checks and schedule bill payments as approved
  • Coordinate with vendors as the A/P contact on the client’s behalf
  • Investigate and resolve discrepancies in expenses or A/P accounts
  • Reconcile vendor billing statements and notes payable
  • Support sales tax reporting and remit tax payments as needed

Payroll Processing, Contractor Payments, and Owner Disbursements

  • Calculate pre-payroll reporting and provide a preview for approval
  • Process payroll for employees and contractors
  • Support payroll tax filings as needed
  • Maintain current employee payroll and benefit records
  • Reconcile payroll, taxes, and benefit deductions
  • Maintain contractor records, including collecting W-9 information 
  • Schedule and coordinate contract payments
  • Schedule and coordinate owner disbursements as appropriate
  • Update all payroll tax and SUI rates annually or as needed
  • Reconcile quarterly statements (Form 941 & TWC)

Monthly Reconciliations and Reviews

  • Reconcile all bank/credit union accounts
  • Reconcile all credit card accounts
  • Reconcile payment platform accounts, e.g., PayPal, Stripe, Square, etc.
  • Reconcile all asset accounts, such as investments, A/R, etc.
  • Reconcile all liability accounts, such as mortgage, loans/notes, A/P, etc. 
  • Review sales and complete tax filing with the Comptroller as needed
  • Review grants to ensure spending compliance and balances

Periodic Journal Entries and Maintenance

  • Allocate prepaid annual insurance or other prepayments
  • Record fixed asset and depreciation as scheduled
  • Record end-of-year accrual entries for prepaids, payables, payroll, benefits, etc.
  • Record other adjusting entries as needed
  • Set up and maintain the Chart of Accounts

Financial Reporting

  • Provide standard monthly, quarterly, and annual financial reports to management
  • Create custom reports for other stakeholders, such as board members or grant funders
  • Support annual budget preparation and tracking through budget vs actual reports
  • Design Excel spreadsheets for specialized tracking and reporting as needed 

Tax Filing and Audit Support

  • Provide data to support the completion of IRS annual tax filings, including Form 990 for nonprofits, and Form 1065 for partnerships
  • Communicate with a CPA to provide tax form information or to support audit reviews
  • Prepare, file, and distribute all outgoing IRS Form 1099s
  • Request and reconcile all incoming IRS Form 1099s

  • Bookkeeping clean-up when things have gone wrong
  • Consulting to support CFO duties, to resolve unique challenges, or to provide temporary support during transitions
  • Data management, such as creating Excel spreadsheets for specialized tracking and reporting, such as may be needed for projects, asset management, staffing/HR, etc.
